Privacy Policy

Last updated: August 2026

Leominster Repair Café respects your privacy and takes care of the personal information you give us.

This policy explains what information we collect, why we collect it, how we use it, how long we keep it and your rights.

Who we are

Leominster Repair Café is a volunteer-run community group helping local people repair and reuse household items.

For the purposes of UK data protection law, Leominster Repair Café is responsible for the personal information we collect and use.

If you have any questions about this policy or how we use your information, please contact us using the details on our website.

What information do we collect?

When you book a repair, we may collect:

  • Your name

  • Email address

  • Telephone number

  • Postcode

  • Whether you have visited the Leominster Repair Café before

  • How you heard about us

  • Whether you would like to receive emails about future events

  • Details of the item you are bringing for repair

  • The type of repair required

  • The item’s make and model, where known

  • Details of the fault or problem

We may also collect information that you provide if you contact us directly, make an enquiry or volunteer with the Leominster Repair Café.

We only collect information that we reasonably need to organise and run our Repair Café sessions.

How do we use your information?

We may use your information to:

  • Manage your repair booking

  • Send booking confirmations and other information about your appointment

  • Contact you if we have a question about your booking or repair

  • Help us allocate your item to an appropriate volunteer repairer

  • Keep appropriate records of repairs carried out at our sessions

  • Respond to enquiries

  • Manage our volunteers and volunteering enquiries

  • Understand the types of items people bring to us

  • Help us improve and safely operate Leominster Repair Café

We will not use the contact information provided for a repair booking to send you promotional emails unless you have chosen to receive them.

Our lawful basis for using your information

UK data protection law requires us to have a lawful reason for processing your personal information.

For the administration of Repair Café sessions, bookings, enquiries and associated record keeping, we generally rely on our legitimate interests in operating and administering the Leominster Repair Café.

We only rely on legitimate interests where our use of your information is reasonable and necessary and does not unfairly override your privacy rights.

We may also process personal information where necessary to meet a legal obligation.

Where we rely on your consent – for example, where you choose to receive emails about future events – you can withdraw that consent at any time.

Emails about future events

When booking a repair, you may be given the option to receive emails about future Leominster Repair Café events and activities.

This is optional and is separate from your repair booking.

If you choose to receive these emails, we will use your contact information for that purpose until you unsubscribe or ask us to stop.

You can change your mind at any time. We will not use your decision about receiving these emails to affect your ability to use the Repair Café.

Who can see your information?

Personal information is only made available to the Leominster Repair Café volunteers who reasonably need access to it for organising sessions, administering bookings or helping with your repair.

For example, relevant information about your item and the reported fault may be provided to the repairer looking at it.

We ask our volunteers to treat personal information responsibly and confidentially.

Do we share your information?

We do not sell your personal information.

We may use trusted organisations and service providers to help operate our website, booking system, email or other administration.

These organisations may process information on our behalf where necessary to provide their services.

We may also disclose information where we are required to do so by law.

Repair information and statistics

We may retain or use information about repairs to help us understand what types of items are being brought to the Repair Café and the success of different repairs.

We may also contribute repair information to wider Repair Café initiatives, such as RepairMonitor, where applicable.

Where repair information is retained for statistical or research purposes, we aim to remove information that directly identifies the person who brought the item to us.

How long do we keep your information?

Personal information collected through our repair booking system – including your name, email address, telephone number, postcode and repair details – will normally be kept for 12 months after the relevant Repair Café session.

After 12 months, personal information that we no longer need will be securely deleted or anonymised.

We may retain anonymous information about repairs for longer. For example, we may keep information about the type of item repaired, the problem and whether the repair was successful, provided it can no longer reasonably be linked to you.

If there is a legal, insurance or other legitimate reason why particular information needs to be retained for longer, we may keep it for as long as reasonably necessary.

If you have separately chosen to receive emails about future events, we may retain the contact information needed for this purpose until you unsubscribe or ask us to stop contacting you.

Photographs at our events

We sometimes take photographs at Repair Café sessions to show what happens at our events and promote repair, reuse and the work of the Leominster Repair Café.

Where someone is clearly identifiable and is the main subject of a photograph, we will normally ask permission before using the photograph on our website, social media or promotional materials.

If you would prefer not to be photographed, please let one of our volunteers know.

If you see a photograph of yourself on one of our channels that you would like us to remove, please contact us.

Cookies and our website

Our website may use cookies and similar technologies.

Some cookies are necessary for the website and booking system to work correctly. Other cookies may be used for purposes such as analytics or content provided by third-party services.

Where consent is required for non-essential cookies, you will be given an opportunity to accept or reject them.

You can also control cookies through your browser settings.

Links to other websites

Our website contains links to websites operated by other organisations.

Once you follow a link to another website, that organisation is responsible for how it collects and uses your information. We recommend checking its privacy information if you have any concerns.

Keeping your information secure

We take reasonable steps to protect the personal information we hold and limit access to people who need it for legitimate Repair Café purposes.

We also aim to ensure that personal information is not retained for longer than necessary.

Your rights

Under UK data protection law, you have rights relating to your personal information. Depending on the circumstances, these may include the right to:

  • Ask for a copy of the personal information we hold about you

  • Ask us to correct information that is inaccurate or incomplete

  • Ask us to delete your personal information

  • Ask us to restrict how we use your information

  • Object to certain uses of your information

  • Withdraw your consent where we are relying on consent

Not all of these rights apply in every situation.

If you would like to exercise one of these rights, please contact us. We may need to confirm your identity before responding.

If you have a concern

If you have a question or concern about how Leominster Repair Café uses your personal information, please contact us first and we’ll do our best to help.

You also have the right to raise a concern with the Information Commissioner’s Office (ICO), the UK’s independent data protection regulator.

Changes to this policy

We may update this Privacy Policy from time to time if our activities or the way we use personal information change.

The latest version will be published on our website.
